Pulsevis
Inventory built into the POS

Inventory Management Software for Small Businesses

Stock that keeps up with every sale.

Pulsevis keeps your products and stock in the same app you sell from. Add products with sizes and colours, receive stock against a vendor, track batches and expiry dates, and let every sale bring the count down for you.

How stock is tracked ↓
✓ No card required✓ Batch and expiry on every plan

Manage products in one place

Your whole catalogue, ready to sell.

Every product you stock lives in one list, from a single item to a style in twenty sizes and colours. Where something is only on Premium, the card says so.

Product details

Name, category, brand, unit (piece, box, kg, litre and more), selling price and a photo. Each product gets its own product number automatically.

Categories

Type a new category while you add a product and it is created on the spot. Filter the product list by category to see one shelf at a time.

Sizes, colours and other variants

Give a product up to six options, such as size and colour, and Pulsevis builds every combination. Each variant has its own price, barcode and stock.

Barcodes

Store a barcode on any product on every plan, and find it by typing the code into search. Generating barcodes, scanning and printing labels are on Premium.

Search and sort

Search by name, product number, brand, category, size, colour or barcode. Sort the list by stock, price or cost to see what needs attention.

Remove without losing history

Deleting a product takes it off sale but keeps its past stock entries and sales, so your records and reports still add up.

Keep track of stock

Know what came in and what went out.

Stock goes up when you receive it and down when you sell or write it off. Pulsevis works out the quantity from those records, so the number on screen always matches them.

Stock in

Receive several products on one entry: choose the vendor, then enter quantity, unit cost, batch number and expiry for each line. Attach a photo or scan of the supplier's bill.

Write-offs

Remove stock that is damaged, lost or expired from the batch it came from, with a reason and a note. A write-off made by mistake can be undone.

Each product's numbers

Open a product on the Stock page to see how much was received, sold and returned, what is left, its average cost, and every stock entry made for it.

See what is running low

Pulsevis tells you which products are low before the shelf is empty. Reordering is still your call: it does not raise purchase orders.

  • Every product has its own low-stock level. It starts at 3, and a CSV import can set a different level for each product
  • Low and out-of-stock badges on the product list, the Stock page and the product cards at the till
  • A low-stock count beside Products in the menu, and a banner on the cashier's dashboard
  • Filter the stock summary to low-stock items, or to anything below a number you choose
  • The owner's dashboard lists products that have not sold in the last 30 days

Batch and expiry tracking

For medicines, food, cosmetics and anything else where the date matters as much as the price. Included on every plan, the Free Trial too.

  • Turn on expiry tracking only for the products that need it
  • Record a batch number and expiry date with every stock-in
  • Stock is counted down from the earliest-expiring batch first
  • Expired and expiring-soon badges on products and stock entries. The warning window is 30 days unless you change it in Settings
  • Expired units are kept out of sale by default, and you can write them off against their batch

Add products efficiently

Bring in your whole product list from one file.

Starting with hundreds of products? Import them from a CSV file instead of typing each one, opening stock included.

How CSV import works

  • Download the template from the import screen, or use your own file with matching column names
  • Review the rows before anything is saved. If any row has a problem, nothing is imported until it is fixed
  • New categories and vendors are created for you, and rows with a size or colour become variants
  • A quantity with a cost creates an opening stock entry, with its batch and expiry
  • Import again to update prices and details of products you already have
  • Up to 20,000 rows per file

Columns your file can include

Product Name and Sell Price are required. Cost Price is needed when a row has a quantity.

  • Product Name
  • Sell Price
  • Category
  • Brand
  • Unit
  • SKU
  • Barcode
  • Size
  • Color
  • Cost Price
  • Quantity
  • Batch No
  • Expiry Date
  • Vendor
  • Low Stock Threshold

The file must be a .csv. Save an Excel sheet as CSV before importing it.

Opening stock as you add a product

The product form has an optional second step for the stock you already hold: quantity, cost, batch and expiry for each variant, and the vendor it came from.

Add a product from the till

If a search at the counter finds nothing, add the product there and then with its price, cost and quantity, and carry on with the sale.

Barcodes and labels

Include barcodes in your CSV on any plan. On Premium, Pulsevis can generate barcodes for products without one and print labels at the size you set.

Connected to daily sales

Your stock and your till are the same system.

There is no separate inventory program to keep in step. What happens at the counter is what your stock shows.

Every sale updates stock

Ring up a sale and the items come off stock straight away, variant by variant. There is nothing to count or post at the end of the day.

No selling what you don't have

Product cards at the till show what is in stock, and a sale that would take an item below zero is stopped. Shops that prefer can allow negative stock in Settings.

Returns go back on the shelf

A returned item is added back to stock automatically, and an exchange takes the replacement out in the same step. Returns and exchanges work at the till on every plan; the Returns history page is on Premium.

Cost kept with every sale

Each sale stores the item's cost at that moment, so a later change in cost doesn't rewrite past profit. Profit reports are on Premium.

Reports and stock visibility

See what your stock is worth.

The stock figures below are on every plan. Sales history and profit reporting depend on the plan, as noted.

Stock value

The Stock page totals what your stock is worth at average cost, with units and value broken down by category.

Product by product

Received, sold, returned and current stock for every product, with its average cost and stock value.

Owner's dashboard

Active products, how many are below their low-stock level, stock value, and the items with no sales in 30 days.

Vendor totals

For each vendor, the number of stock entries, units supplied and total purchase amount, with the entries behind them.

Sales reports

Items sold, returns and payment totals, exportable to CSV. Free shows the last 7 days; full history and profit are on Premium.

Stock figures are viewed in the app; only the sales report exports to CSV. See what changed in recent releases

Your stock records stay on your PC

Products, stock entries and write-offs are saved in a database on the Windows PC running Pulsevis, so stock keeps updating when the internet drops. That database is backed up locally every day and is not encrypted. On Premium, products, stock and vendors also sync to Pulsevis servers so up to 5 computers share one stock list; product photos and bill images stay on the PC where they were added.

Inventory FAQ

Questions about inventory in Pulsevis.

Still have a question? Email support@pulsevis.com — we answer within hours.

Can I import my product list from a spreadsheet?

Yes, from a CSV file. Download the template from the import screen, fill it in (or save your Excel sheet as CSV) and Pulsevis shows any problems before anything is saved. Product Name and Sell Price are required; categories, variants, vendors and opening stock with batch and expiry can all come from the same file. Excel .xlsx files are not read directly.

Does Pulsevis handle sizes and colours?

Yes. Add size, colour or your own options to a product and Pulsevis creates each combination as a variant with its own price, barcode and stock. A product with variants counts as one product toward the Free Trial's limit.

Do I need Premium to use barcodes?

Not to store them. On every plan you can save a barcode against a product and find it by typing the code into search. Scanning at the counter, generating barcodes and printing labels are on Premium.

Is batch and expiry tracking included in the Free Trial?

Yes. Batch numbers, expiry dates, expiry warnings and write-offs are available on every plan.

Can Pulsevis stop staff selling expired stock?

Yes, and it does by default. Expired units are left out of the stock that can be sold. A shop that needs to can turn this off in Settings.

How do I correct stock after a count?

Stock goes up through a stock-in entry and down through sales and write-offs, which record whether stock was damaged, lost, expired or removed for another reason. There is no separate stock-take screen for typing in a counted figure.

Does it create purchase orders or track what I owe suppliers?

No. Pulsevis keeps a list of vendors with their contact details, links each stock-in to a vendor and attached bill, and totals what you bought from each one. It does not raise purchase orders or track supplier balances and payments.

Can I manage stock for several shops or a warehouse?

Pulsevis manages one store's stock. On Premium, up to 5 computers in that store share the same product and stock list through sync. Separate locations, warehouses and stock transfers are not supported.
